This Rules/Policy document is provided to you and your organization as a starting point or maturity checkpoint for existing rules/policies. Non-Sponsored Use of Our Facilities Policy

Protecting human lives is the highest requirement of our entire organization, whether they are employees, customers, volunteers, visitors, or part of our supply chain while under some nexus to our organization. Many times things we do online will impact people’s lives physically, financially, and emotionally.

Key Definitions:

Non-Sponsored — The organization that owns or leases the facility is not sponsoring the event, supporting its content, purpose, or audience, funding it, or providing volunteers. It is only providing physical space — for a fee or free — with a clear separation of roles, responsibilities, and liabilities.

Facility/ies — Buildings, parking lots, grounds, and any assets on the grounds.

Note: These rules are signed by the accountable person over the event. Internal event rules are a separate resource available on the One-Pager library page.

  • I will report safety and security incidents, concerns, vulnerabilities, and threats to the facility point of contact who granted us the right to use the facility. If they are not available and I feel unsafe, I will contact law enforcement.
  • I will be responsible for the safety of all individuals attending the event and will be fully equipped to handle safety issues with qualified individuals onsite. If I find a building safety issue, I will report it to the facility point of contact.
  • I will be responsible for the security of all individuals attending the event and will be fully equipped to handle security issues with qualified individuals onsite. If I find a building security issue, I will report it to the facility point of contact.
  • I will make sure the facility is cleaned and sanitized to a level equal to or better than when we began event setup.
  • I will document and report all damage to the facility, items inside, or grounds outside — and collect photos at setup and at the time damage is discovered.
  • I will post notices at the doors indicating that the facility organization is not responsible for the event, its content, activities, safety, or security.
  • I will only use the building, furniture, electronics, and other assets that I am specifically approved to use, and in a way that does not damage them.
  • I will not allow any weapons that can cause bodily harm or asset damage on or into the facility without specific written authorization from the senior leadership of the organization granting us use.
  • I will follow all local, state, federal, HOA, and other applicable rules, laws, and regulations related to my event and use of the facility.
  • I will not use or allow use of the facility’s Wi-Fi as part of the event unless specifically authorized by the facility staff overseer for this event.
  • I will have at least two dedicated adults supervising any children, maintaining control in the same safe and structured manner expected at a standard children’s program.
  • I will not allow open flames, candles, fire pits, fireworks, or alcohol as part of the event.
  • I will not allow drone usage inside any building. Any outdoor drone footage during the event must be operated by an FAA Part 107 Licensed Drone Operator.
